Steps
Lexzur automatically generates a unique Matter ID for each corporate matter and litigation case. By default, the ID starts with “M” followed by a series of zeros and a sequential number (e.g., M0000596). However, you can fully customize the format to reflect your internal classification preferences—such as including category types, dates, or assigned teams—making it easier to organize and identify matters.
Accessing Matter ID Configuration
- To configure Matter IDs, navigate to: System Settings → Matters → ID Configuration
Matter ID Structure
The Matter ID can be composed of up to four configurable sections, in addition to the system-generated numeric ID:
Category Prefix
A keyword or abbreviation that reflects the type of matter.
Example: Use CM for corporate matters and LC for litigation cases.
Max 5 characters. Default value is “M” for all matter types.
Practice Area Prefix
A short abbreviation representing the practice area.
Example: ADMIN for Administrative, CIV for Civil.
This can be configured from the Practice Area & Due Dates settings page.
Date Prefix
Include a date format (e.g., year, month, day) in the ID.
You can customize the format depending on your needs (e.g., YYYY-MM or YYMMDD).
Assigned Team Prefix
An abbreviation of the team assigned to the matter.
These abbreviations can be set and edited from the Assigned Teams settings page.
ID (Fixed Section)
A system-generated sequential number that uniquely identifies the matter.
This is mandatory and cannot be edited or removed.
Customization Options
You can enable or disable any of the four configurable sections (Category, Practice Area, Date, Assigned Team) based on your organizational needs.
The ID section is fixed and will always be part of the Matter ID.
Reorder ID Sections
- Additionally, if you’d like to reorder the sections of the Matter ID—for example, placing the Date Prefix before the Category Prefix—you can do so by clicking the box icon next to each section and dragging it to your preferred position.
- This allows for greater flexibility and customization of the ID format.
Resetting Matter ID Numbers
- If needed, you can reset the numbering sequence for Matter IDs based on specific criteria such as year or matter type.
- To enable the reset ID option, simply click to activate it, then select the desired reset criteria from the dropdown menu.
- You can choose to reset IDs based on specific conditions such as Category, Practice Area, Year, Category & Year, Assigned Team, and more.
For example:
Per Year: Matter IDs will restart from 1 at the beginning of each new year.
Per Practice Area: Each practice area will maintain its own ID sequence. For instance, you may have separate ID sequences like LC-ADMIN-1 for Administrative cases and LC-CIV-1 for Civil cases.
Final Steps
After setting up your desired format:
Click “Save”.
A confirmation pop-up will display the changes that will be applied to future Matter IDs.
- Only the enabled sections will appear in the final generated Matter ID.
