Objectives

  • Delegate Client Portal requests between requesters

  • Reassign Matter, Contract, or Task requests temporarily

  • Ensure continuity in request ownership and handling

  • Configure delegation periods and applicable request statuses

Steps

The Client Portal Delegations feature allows organizations to reassign Matter, Contract, and Task requests from one requester to another alternative requester. This ensures continuous ownership, uninterrupted request handling, and improved workflow management during absences or temporary delegation periods.

1. Open Delegation Settings

  • Navigate to System Settings.

  • Scroll to the Client Portal section.

  • Open Delegation.

2. Create a New Delegation

  • Click Add New Delegation.

  • Select:

    • From User → the original requester

    • To User → the alternative requester who will receive the delegated requests

Both Client Portal users must belong to the same company for the delegation to work properly.

3. Define the Delegation Period

Specify:

  • Start Date

  • End Date

The delegation will remain active during the selected period.

4. Select Delegated Modules

Choose which types of requests should be delegated:

  • Contract Requests

  • Matter Requests

  • Task Requests

Approval delegations are only applicable to collaborators.

5. Configure Included Statuses

For each selected module, choose the request statuses that should be included in the delegation.

This allows you to control which requests are transferred to the alternative requester.

6. Select the Requests to Delegate

Proceed to the next step to select the specific requests.

Depending on the selected modules, you can choose:

  • Contract Requests

  • Matter Requests

  • Task Requests

Select the requests you want to delegate to the alternative requester.

7. Confirm the Delegation

Review and confirm your selection.

You can also choose whether the requests should:

  • Automatically revert back to the original requester once the delegation period ends

What Requesters Will See

Once the delegation is active:

  • Users will be notified about the delegated requests

  • The alternative requester will be able to view and manage the delegated requests directly from the Client Portal
