Objectives

  • Upload and manage documents used to train Lexa

  • Customize how Lexa responds to prompts

  • Improve response accuracy using organizational knowledge

  • Define response tone, focus areas, and formatting preferences

Steps

Lexa Knowledge Base  is a feature that allows users to upload reference documents and define custom instructions to train Lexa and tailor its responses based on organizational knowledge and preferences.

By using the Knowledge Base, Lexa can generate more accurate and context-aware responses aligned with your organization’s internal documents, policies, templates, and preferred communication style.

1. Open Lexa Configuration Settings

  • Open System Settings.

  • Navigate to the Lexa section.

  • Open the Lexa Configuration page.

The configuration page includes two main sections for training and customization:

  • Files

  • Custom Instructions

2. Train Lexa Using Files

The Files tab allows you to upload reference documents that Lexa can use when generating responses.

Upload Reference Documents

  • Open the Files tab.

  • Click Add Files to upload documents.

Examples of useful training documents include:

  • Agreement templates

  • General Terms & Conditions

  • Internal policies and guidelines

  • Compliance documents

  • Legal clause references

Train the Documents

After uploading the files:

  • Select the documents you want Lexa to use for training.

  • Click ActionsTrain.

The system will display the file training status:

  • Not Indexed → File has not been processed yet

  • In Progress → Training is currently running

  • Completed → Training has finished successfully

Once the status changes to Completed, Lexa will begin using these documents as part of its response generation.

3. Configure Custom Instructions

The Custom Instructions tab allows you to define how Lexa should respond to users.

You can instruct Lexa to:

  • Focus on specific topics

  • Use a preferred tone or writing style

  • Follow a specific response format

  • Prioritize certain types of information

To Configure Instructions

  • Open the Custom Instructions tab.

  • Enter the desired instructions.

  • Click Save.

How It Affects Lexa Responses

  • Lexa will take the uploaded documents into consideration when responding to prompts

  • Responses generated from any module or record in the system will reflect the trained organizational knowledge

  • Lexa will apply these instructions across all future prompt responses.
