Objectives:

  • Restrict request visibility by department for better privacy and control

  • Ensure users see only relevant request types

  • Link Client Portal Users to Departments

  • Link Request Types to Departments

Steps:

Admins can now control the visibility of Client Portal requests based on departments. Each user is assigned to a department, ensuring that requests—such as HR, Legal, or other types—are visible only to the appropriate teams. Matter and Contract requests can be configured to be visible to all departments or restricted to specific ones.

Step 1: Set Up Departments

  • Open System SettingsClient PortalDepartments.

  • Add the departments you wish to use based on your organization’s structure (e.g., HR, Marketing, Finance, or other company-specific departments).

Step 2: Link Client Portal Users to Departments

  • Go to System SettingsClient PortalManage Clients.

  • Assign a department to new or existing client accounts:

    • Click Add Client to create a new account, or

    • Click on an existing user name to open the Edit User page.

  • Under More Fields, locate the Department field.

  • Select the appropriate department from the list and Save your changes.

Now, each Client Portal user is linked to a specific department.

Department configuration is typically done once. If already set up, you can skip to Step 3.

Step 3: Link Request Types to Departments

  • Open the System Settings Client Portal then select the request type you want to control:

    • Request Types (Matter or Case Requests)

    • Contract/Document Request Types (Contract related types)

  • Click Edit to modify the request type.

  • Locate the Department field:

    • By default, requests are shared with All Departments.

    • Select the specific department(s) that should have access.

  • Save your changes.

 Only users assigned to the selected department(s) will be able to view or submit this request type. Requests will remain hidden from all other users.

Benefits

  • Provides admins with more control over Client Portal content
  • Only relevant users can submit or view certain requests

  • Reduces confusion by showing each user only the request types they need
