Objectives
- Automatically send emails when a rule is triggered in Automation Hub.
Steps:
A new Send Email action has been added to Automation Hub. This allows you to automatically send emails to selected recipients based on predefined triggers and conditions. You can choose an existing email template or fully customize the email subject, body, and recipients.
1. Access the Automation Hub
Open System Settings.
Go to Automation Hub under System Preferences.
2. Create or Edit a Rule
Click Add a Trigger to create a new automation rule, or select an existing rule to edit.
When creating a new rule, select the appropriate Trigger Type, such as:
Create Corporate Matter
Create Litigation Case
Create/Upload Contract or Document
- Create Task
- etc...
3. Define Conditions (Optional)
You may create a rule that applies to all objects or only those that meet certain conditions.
Adding Conditions
Click the + icon under the green When section.
Choose:
Add Then → Apply the action to all objects, with no conditions.
Add If → Add conditions based on fields such as matter type, priority, requester, or any custom field.
To add condition rules:
Click Add If.
Select from default or custom fields.
Enter the condition values.
Choose whether All or Any conditions must be met.
Combine multiple conditions if needed.
4. Set the Email Action
Under the selected condition block, click Add Then.
Choose Send Emails as the action.
Email Setup Options
You can either:
Select a predefined email template already used in the Email Engine, or
Create a custom email directly within the rule.
Customizing the Email
You may define:
Recipients: Add users under To and CC.
Email Subject
Email Content:
Format text (size, alignment, spacing).
Add bullet points.
Insert attachments.
Use placeholders.
Using Placeholders
Placeholders automatically pull real data from the object (Matter, Case, Contract) before sending the email.
Example:Dear {{ → will be replaced by the actual client name from the object.Client Name}}
You can find the Insert Placeholder option under both the Subject and Content sections.
- Simply place your cursor where you want the placeholder to appear
- Open the list
- And select the field you want to insert.
This works the same way as customizing Email Templates.
5. Save the Rule
Click Save to activate your automation rule.
Once enabled, any new object that meets the trigger conditions will automatically generate and send the email you defined.
