Objective:

  • Automate the application of task-specific checklists upon task creation using rules defined in the Automation Hub.

Steps:

Task checklist automation allows users to automatically apply predefined checklists to tasks upon creation, based on task type or other specific conditions. This feature, configured through the Automation Hub, improves consistency and efficiency in task management.

Access the Automation Hub:

    • Go to System Settings.

    • Navigate to the Automation Hub under System Preferences.

Create or Edit a Rule:

    • Click Add a trigger to define a new automation, or select an existing task rule to edit.

    • Ensure the rule is based on the "Task" trigger type.

    • Choose the Trigger: Set it to "Create Task".

Define Conditions (Optional):

    • Click the plus (+) icon beneath the green "When" tab.

    • You’ll see two options:

      • Add Then: Use this if you want the checklist applied to all tasks created, regardless of conditions.

      • Add If: Use this to define conditions (e.g., based on task type, priority, requester, or any custom field).

    • To add conditions:

      • Click on Add Conditions and choose from the task default fields or custom fields.
      • Specify the condition value.
      • Set rules based on "All" or "Any" of the conditions being met.

      • Combine multiple conditions to fine-tune the rule.

Set the Checklist Action:

    • Under the defined condition block, click Add Then.

    • Select "Manage Checklists" as the action.

    • Enter each checklist item title in the provided field.

    • Click the blue tick to confirm each item and add it to the list.

Save the Rule:

    • Once all conditions and actions are set, click Save to activate your rule.

Whenever a new task is created that meets your defined conditions, the corresponding checklist items will be automatically applied to the task.
