Objectives:
- Lock Client Portal Requests automatically upon creation.
- Unlock Client Portal Requests manually from the system.
Steps:
The aim of this option is to automatically restrict actions on client portal requests based on the status of a contract, matter, or case—giving requestors read-only access while allowing internal users to unlock when needed.
To get started:
Access Automation Hub
Go to System Settings, then navigate to the Automation Hub under System Preferences.
Create or Edit a Rule
Click to add a new trigger or edit an existing one if you want to include this action in a current automation.
- If you're creating a new rule, choose the appropriate Trigger Type such as:
Create Corporate Matter
Create Litigation Case
Create/Upload a new Contract/Document
Once you've selected the trigger type, click the plus icon below to add conditions or define follow-up actions.
(Optional) Add Conditions
Use the “Add If” block to set specific conditions that must be met before the action is applied—for example, by contract type, practice area, requester, or priority.
Add the Lock Action
Under the trigger or condition, click the plus icon, choose Add Then and select “Lock Client Portal Request.”
- Then click Save to activate your rule.
Once set, any request submitted via the Client Portal that meets your criteria will automatically be locked—meaning the requestor will only have view-only access. They won’t be able to add notes, upload attachments, or take further action.
When a request is locked, the requester can still view notes shared by the legal or contract team but won't be able to reply.
Similarly, any attachments shared by the team will be accessible in view-only mode—allowing the requester to download or preview files, but not edit, upload, or perform other file-related actions.
To Unlock the Request:
Internal users can unlock the request manually.
For Matters or Cases, open the record and select 'Unlock Client Portal Request' from the top-right Actions menu.
For Contracts, open the contract page, click the three-dot menu in the top-right corner, and choose 'Unlock Client Portal Request'
