Objectives

  • Automate data extraction from uploaded contracts and documents using Lexa.

  • Provide visibility on where extracted data originates from within the document.

  • Allow users to review, validate, and edit extracted information before saving.

  • Enable quick document previews and in-document searches for verification.

Steps

The Smart Document Upload feature streamlines the contract and document upload process by leveraging Lexa, your AI assistant, to automatically extract and populate key information. This reduces manual data entry, minimizes errors, and accelerates document registration.

With Smart Upload, Lexa scans your uploaded contract or document, identifies relevant details such as contract title, dates, parties, and key terms, and automatically maps them to the corresponding form fields. Users can review extracted data, verify suggestions, and preview the original document—all within the same workflow.

1. Access the Contra Module

  • Navigate to the Contra module from the main menu.

2. Upload the Document

  • Click the Create button to add a new contract.

  • Choose Upload Contract/Document.

  • Select the Document Type from the available list.

  • Upload the contract or document file you want to add.

3. Enable Smart Upload

  • Once the file is uploaded, a Smart Upload toggle will appear.

  • Enable the toggle to allow Lexa to analyze your document.

  • Then click Next

4. Automatic Data Extraction

  • In the next step (the form view), Lexa automatically scans the uploaded file, extracts relevant data, and maps it to the corresponding fields.

  • Each mapped field includes a helper text beside the field title, indicating where the data was extracted from.

  • If a field in the form is not found or mentioned in the document, Lexa will leave it blank. A helper text will indicate that no matching data was detected.

5. Review and Adjust Suggestions

  • If a field contains multiple possible values from the document, Lexa will suggest one option.

  • You can click the “Suggested by Lexa” note below the field to view and choose alternative suggestions.

6. Preview the Document

  • To review the extracted content, click the Preview option.

  • The document will open in a pop-up window, allowing you to verify details and search within the document if needed.

7. Complete the Form

  • Review all fields and ensure the extracted data is correct.

  • Fill in any missing fields that were not defined in the document or not retrieved by Lexa.

8. Save the Contract

  • Once all required details are completed, click Save to create the contract record.
