How to Use Lexa in the Email Engine

Objectives

• Enhance email communication using Lexa AI directly within the email editor.

• Draft, rewrite, summarize, translate, and refine emails with AI assistance.

• Improve productivity by generating responses and analyzing email content in real time.

Steps

Lexa is now integrated into the Email Engine, allowing users to leverage AI while composing or replying to emails.

With Lexa, you can:

• Generate new emails

• Rewrite or refine replies

• Summarize email threads

• Translate content

• Analyze attachments or related documents

1. Access the Email Engine

The Email Engine is available across multiple modules, including:

• Practice

• Contra

• Billing

To access it:

• Open any record (e.g., Matter, Case, Contract, or Invoice).

• Navigate to the Email tab from the side panel.

• Click Compose to start a new email or open an existing thread.

2. Use Lexa Chat Within Email

Inside the email composer, you will find the Lexa icon at the bottom.

• Click the Lexa icon to open the Lexa Chat panel.

• Enter your prompt in the chat box (e.g., generate an email, rewrite a response, or summarize content).

• Optionally:

  • Upload files for analysis

  • Select attachments from the current record

  • Save frequently used prompts as favorites
  • Copy responses and use them in your email

The Lexa Chat panel and email composer open side by side, allowing you to easily copy responses and use them in your email.

3. Enhance Email Content Using AI

While drafting or replying to an email:

• Highlight the text you want to improve.

• Click the Lexa AI icon.

Lexa will provide several smart actions:

• Change Tone: Instantly shift the tone to either Professional or Casual.
• Proofread: Correct grammar, spelling, and punctuation.
• Rewrite: Rephrase content for better clarity and structure.
• Expand: Add context and detail to enrich your message.

• Shorten: Generate a concise summary of your content.

After Generation

You can:

• Copy the result

• Replace the original text

• Regenerate for alternative suggestions

4. Summarize Email Threads

Lexa also allows you to quickly summarize entire email conversations.

• Use the Summarize button available in the Email Engine

• Lexa will generate a summary of the full email thread for quick review
