Objectives:

  • Add and Manage Internal Notes on documents

Steps:

The Internal Document Notes feature is designed to enhance team collaboration by allowing users to add context, updates, or reminders directly at the top of any document.

Where to Access It:

This feature is available in both the Lexzur Editor and Word for Web.

  • Open the Attachments tab in any Matter, Case, or Contract or the IDocs module.

  • Select the file you wish to work with, and click "Open in" and choose your preferred editor.

  • In Word for Web: Click the Lexzur icon on the left side of the document. The notes panel will appear.

  • In the Lexzur Editor: Click the comments icon in the top-right corner (next to the Download and Print buttons) to open the notes panel.

How to Use It:

  • In the notes panel, click "Add New Note".

  • Type your note — you can mention teammates using @, and format your text using:

    • Paragraph or heading styles

    • Bullet points

    • Font colors

    • Hyperlinks and images

  • Set the note visibility:

    • Everyone: Visible to all users

    • Private: Visible only to selected users

  • Click Add to save your note.

  • Mentioned users will receive an email notification and can open the file, reply or add their own notes.

Managing Notes:

  • Use the three dots actions next to any note to edit, delete, or resolve it.

  • Resolved notes will display a green checkmark and become locked — they can no longer be edited, deleted, replied to, or have their privacy settings changed.

  • At the top of the notes panel, filter by:

    • All Notes

    • Resolved Notes

    • Unresolved Notes

This feature ensures seamless collaboration, especially when multiple stakeholders are reviewing and updating documents.
