Objectives:

  • Add new invoices

  • Track and manage existing invoices

  • Use filters, views, and actions to stay on top of billing operations

Steps:

Creating a New Invoice

To get started with invoicing:

  • Open the Billing Module from the main navigation menu.

  • Go to Sales > Invoices > Add Invoice.

  • Follow the step-by-step form to enter invoice details.

Viewing and Tracking Invoices

All created invoices are accessible in a centralized grid:

  • Navigate to Sales > Invoices > All Invoices.

  • You’ll be directed to a grid displaying all invoices along with key details such as status, due date, and amount.

  • At the top of the grid, there is a status summary widget shows invoice totals categorized by: Open, Draft, Paid, and Overdue.

Search and Filter Invoices

You can easily locate invoices using:

  • Search bar to look up invoice numbers, client names, or other key fields.

  • Quick filters above the column headers for criteria like account name, due date, and more.

  • Click on any status within the Status Widgets to instantly filter the grid accordingly.

  • Open the All Filters panel for advanced search options using any invoice field.
  • Search within the filter panel based on any criteria and apply your filter.

  • You can then save frequently used filters as views.

  • Views can be marked as private or shared with other users.

  • Access saved filters anytime from the dropdown menu at the top-left corner of the grid.

Additional Grid Options

Use the top-right buttons to:

  • Export the grid to Excel for reporting.

  • Manage saved filters

  • Add a new invoice directly

Actions on Invoices

Each invoice row includes a 3-dots Actions menu where you can:

  • View Invoice Details

  • Preview 

  • Change Status (e.g., mark as Open or Approved)

  • Add Payments
  • Clone

  • Export or Delete

Clicking the Invoice ID hyperlink opens the full invoice details page.

Invoice Details Page

From this page, you can:

  • Preview the invoice using different templates

  • Edit, Print, Send Emails, or Export

  • Change invoice status (Draft, Open, Approved...)

Payments

Track and manage payments associated with the invoice.

Attachments

View and manage all files linked to the invoice:

  • Upload new documents or folders

  • Select the file to take further actions such as rename, share, download, edit, or delete files as needed

Send and track email threads related to the invoice.
