Objectives

Steps

Lexzur’s Automation Hub is a centralized control center designed to automate repetitive workflows, ensuring consistency, accuracy, and efficiency across your legal and business operations.

With the Automation Hub, you can:

  • Automatically assign tasks and reminders.

  • Update field values across cases, tasks, and contracts.

  • Apply privacy settings and control visibility.

  • Automate assignment rules, watchers, and more.

  • Tailor workflows based on conditions such as type, practice area, priority, or custom fields.

  • and much more.

Accessing the Automation Hub

  • Navigate to System Settings.

  • Under System Preferences, select Automation Hub.


Creating a New Automation Rule

1. Add a Trigger

  • Click the button at the top right to Add a New Trigger.

  • Give your rule a title and description in the Rule Details section.

  • Define the Trigger Event : click the green tab to add the event that will trigger your rule such as:

    • Creating a Corporate Matter, Litigation Case, Task, or Contract.

    • Setting a Judgment.

    • Creating a Hearing or Milestone.

  • Once you select a trigger, a plus (+) icon will appear below the trigger block, giving you two options: Add If and Add Then.

2. Add Conditions 

  • To customize further based on specific conditions, use "Add if" for the If-Else workflow.
  • Click Add If.

  • An IF block will open on the right, where you can define the conditions for your rule.

  • You can choose from condition types such as Name, Date, Practice Area, Priority, Client, Opponent, Assignee, Channel, Requested By, and more. Custom fields can also be included if required.

  • Add as many conditions as needed, and specify whether all conditions must be met or if any single condition can trigger the action.


3. Configure Else Blocks (Optional)

  •  Add an "Else" block for different actions or conditions if the initial ones don't match.
  • Configure the Else block with its own set of conditions, similar to the If block.
  • To exit the automation if a crucial condition is not met, click the "Exit on False" option under the condition block.
  • Add multiple condition blocks as needed, and the workflow will evaluate each block's conditions, executing the actions if the criteria are met.

4. Add Actions

  • Click on the plus icon and choose Add Then under the block.

  • In the Actions section, select the appropriate action including:

    • Task → Create a new task with defined due dates, type, assignee, and title.

    • Reminder → Set automatic reminders with notification settings.

    • Set Fields → Update values such as Priority, Value, Client Name, or Custom Fields.

    • Set Privacy → Restrict access to selected users or release privacy.

    • Set Assignee → Automatically assign the case/contract/task to a specific user or team.

    • Run Lexa Prompts → Leverage AI automation in workflows.

    • Add Watchers → Notify additional stakeholders.

    • Lock Request → Secure workflows where required.

    • And more, based on your system configuration.


Each action can be customized with required fields (e.g., task due date, privacy users, reminder frequency).


Multiple actions can be stacked under the same trigger.


Saving and Managing Rules

  • Once configured, click Save Rule to activate the rule.

  • If you prefer to configure but not activate yet, disable the rule before saving.

  • By default, new rules are active immediately.

To manage rules:

  • Return to the Automation Hub settings page. You'll view all created rules in the list.

  • Options available:

    • Edit → Update conditions, triggers, or actions.

    • Disable/Enable → Keep the rule but pause execution, or reactivate it.

    • Delete → Remove the rule entirely.
