Objectives:

Steps:

This feature enables users to attach files at the questionnaire level when generating a contract from a template. Users can:

  • Attach files under variables to include them as additional attachments when creating a contract.
  • Embed files directly within the document using the "Embed File" variable type, ensuring the file is embedded in the generated contract.

How to Use This Feature

Access the Contract Template Settings

  • Open the Contra Module
  • Navigate to Contract & Documents from the main menu and open the Manage Templates.

  • Choose to either:
    • Edit an existing template to add file attachment support.
    • Create a new template with this functionality.

Configure the "Attach File" Option 

  • Go to the Template Pages tab.
  • Select the page or group where you want to add the variable.

  • Add a new variable and configure it as follows:
    • Variable Name: Enter the name as written in the Word document template. (Ensure this variable is included in the Word template like any other variable.)

    • Variable Type: Select System Variable.
    • Mapped to Field: Choose Attach File.

    • Required: Define whether attaching a file is optional or mandatory.

This option will appear in the questionnaire as an "Choose File" button, allowing users to upload file. The uploaded files will be automatically linked to the Attachments section of the contract page.

Viewing Attached Files
  • Open the contract page and navigate to the Attachments tab.

  • You will find:
    • The main contract file.
    • Any additional files attached during the process.

Configure the "Embed File" Option

  • Go to the Template Pages tab.
  • Select the page or group where you want to add the variable.

  • Add a new variable and configure it as follows:
    • Variable Name: Enter the name as written in the Word document template. (Ensure this variable is included in the Word template like any other variable.)

    • Variable Type: Select Document Variable.
    • Document Type: Choose Embed File.
    •  
    • Required: Define whether embedding a file is optional or mandatory.

This option will appear in the questionnaire as a button to choose file, embedding it directly into the generated contract.

Viewing Embedded Files
  • Open the contract page and navigate to the Attachments tab.

  • You will find:
    • The main contract file.
    • Any additional files attached during the process.
  • Click to download or preview the main contract file.
  • It will display the embedded file at the position of the embed variable within the document.
  • Double click on the embedded file to open it separately.
